Overview
In this document, the concepts and processes of Order Contracts will be discussed. This feature allows flexibility for orders and allows specific pricing at the order level, making negotiating with customers more agile.
Assumptions
We will assume throughout this article that contracts are created with specific terms and the products listed on the quotes/orders/return requests/RMAs are listed in the contract/s.
We will also assume that the user has the Security Object called “Manipulate Order Contracts”
Description: Gives user ability to add/delete Order Contracts
Terms:
Order Contract: A contract added manually to a Quote/Order/Return Request/RMA.
Customer Contract: When the customer/product/job has been added to a contract in the Contract Manager and shows up automatically in the Quote/Order/Return Request/RMA.
General Concepts
-
The following steps will refer to a quote for the examples, but they can also be applied to Return Requests.
- In order to follow these steps in an Order or an RMA, you must unlock first.
-
In a quote, you can view and manipulate contracts in the Summary tab, then in the Contracts tab.

-
The contracts grid lists the basic info for the contract.
-
If a customer is already added to a contract in the Contract Manager, it will be listed on the grid in the quote as a Customer Contract.
-
If a Customer Contract is selected, the delete button will be disabled, but you can still change increase/decrease the priority.
-
Clicking the add button will pull up the contract selection screen.
-
If the contract is already listed, you can not select it again.
-
Contracts added on the quote will be listed as an Order Contract.
-
If an order contract is highlighted, the delete button will enable and you can decide not to include that contract. It will still be listed but it will be crossed out in the grid.
-
Any contract listed in the quote can be increased or decreased in priority by using the increase and decrease buttons.

-
If you add an order contract to an order, then go add that customer to the contract in the Contract Manager, the contract will refresh and show up as a customer contract.
-
If a contract has a customer and a job listed, and the quote is for the same customer, the contract will not be listed as a customer contract until the job is added to the quote.
-
Depending on what item you have highlighted and what contract has priority, the Pricing Source will reflect how the pricing is calculated.

-
If you have the security to Manage Contracts, the Edit button will be enabled.
- When you click the Edit button, the Manage Contracts screen will appear and you can edit the contract that was highlighted in the grid.
-
If a contract is deleted all together but was previously listed on a quote, it will no longer appear in the Contracts tab of the order or future orders.
-
If you have manipulated contracts on a quote and click Save As, a dialog box will appear stating, “You have Added/Deleted Order Contracts, do you want to keep these changes?”
-
If you click yes, the changes will copy over to the new quote.
-
If you click no, the changes will not copy over. But the customer contracts will still show.
